Administrative Assistant, New York

We have an exciting opportunity for a highly motivated, proactive, and professional Administrative Assistant to join our growing New York Studio.

As an Administrative Assistant you will be the first person that all clients, staff and guests interact with and a representation of the New York City Grimshaw office.

You will demonstrate sound judgment and professionalism with the ability to manage multiple administrative and facilities related tasks. This person will manage the front desk and provide support to one of the practice partners. There are many different and exciting projects that require coordination, exceptional problem solving and above and beyond communication skills to see through to their completion.

Major Responsibilities:

Reception:

  • Answer the switchboard in a timely and professional manner, screening and announcing all phone calls
  • Maintain conference room calendars and manage bookings for meeting rooms
  • Greet visitors, and provide refreshments
  • Maintain the reception area and conference room, making sure they are kept neatly
  • Receive deliveries and mail and distribute in a timely manner
  • Book couriers, taxis, and catering orders while ensuring all necessary forms and bookings are available and completed correctly

Administration:

Business Systems Analyst, New York

Grimshaw Architects is seeking a talented, experienced and creative Business Systems Analyst to join our New York studio.

The main focus of this position is to provide support to project teams and support departments on use of bespoke company software, whilst working in line with our internal standards and controls.


The candidate will be responsible for engaging, training and reviewing company processes to aide development of the practice. Provide efficient IT service by ensuring a timely resolution of support tickets that are related to bespoke systems and taking steps to reduce recurring issues and raising efficiencies.

Duties and Responsibilities:

  • Assist in supporting company systems (examples included, but not limited too Workspace, Newforma, CMAP, Digital Image Library, Knowledgebank, Extranets, Intranet etc).
  • Provide training/coaching on the relevant systems when required and become a power user of our bespoke systems.
  • Help with the new hire training sessions to ensure all team members are comfortable with our systems.
  • Provide efficient Business Systems support for staff and respond to user issues within an acceptable timeframe.
  • Develop and maintain knowledge of the business to understand risks, opportunities and impacts of changes to existing processes and systems.
  • Look for opportunities for continuous improvement to the development of systems, identifying gaps and making recommendations. This may include updating or implementing policies and procedures.
  • Liaise with all levels of staff to ensure project teams are complying with company policies.
  • Work with Business Systems Manager and Quality Management Systems team to ensure all official company documentation is accurate and up to date.

BIM Coordinator, Melbourne

Key responsibilities include:

  • Maintaining all project BIM models and associated project BIM documents and data, to ensure the prescribed performance and quality levels satisfy specific project BIM requirements and Grimshaw BIM Standards.
